Finding a document does not make it applicable.
A relevant search result may still concern the wrong product version, another location or a superseded policy. Experienced colleagues then have to resolve the context themselves.
A useful knowledge system needs more than text similarity. Validity, ownership and access permissions must be part of how every answer is prepared.

How the workflow can work.
Start with a bounded document collection. Check permission inheritance, updates and deletion before connecting it. Restricted material must not appear in answer text, previews or source lists. An unrestricted search across every company repository is not required.

Establish the context
Identify the product, location or period from the question, or ask for it explicitly. Missing context is not replaced with an arbitrary default.

Retrieve applicable evidence
Search within the material available to that person and the appropriate versions. Conflicting or expired passages remain visible as unresolved issues.

Answer with references
Separate supported statements from open questions and link them to their source passages. A direct document reference allows the reader to check the original context.
The key review boundary
Search must not expand existing access rights. Revoked permissions and document updates need to take effect. Qualified staff retain consequential professional decisions; a citation alone does not prove an answer correct.

Is this a chatbot over all our documents?
Not necessarily. A bounded collection with clear ownership is a useful starting point. The interface can be search, an assistant or an embedded step in an existing workflow.
Can internal material become visible to other users?
The design preserves existing access boundaries and checks them before producing an answer. Suitable infrastructure and models are selected for your data classes and operating requirements, not covered by a blanket promise.
What happens when no reliable answer exists?
The question stays open, with the missing context and an appropriate owner identified. These cases also reveal where documentation needs improvement.
