Sales / AI use case

Clear requirements. Visible gaps.

A strong bid begins with a precise understanding of the request. NyxAI brings requirements, supporting evidence and open questions into a matrix the proposal team can act on.

The business question

More proposal text does not establish completeness.

Requirements appear in the main document, annexes and later clarifications. A missed record or changed specification can affect the entire response.

Existing references and standard paragraphs may sound relevant without proving the requested capability. The team needs to see which statements are supported and which still require a decision.

From input to output

How the workflow can work.

The pilot uses an authorized document package and a bounded evidence collection. It needs no access to a procurement portal and submits no bids. Updated documents are compared by version so previously reviewed statements do not silently become outdated.

Required inputs
  • Tender documents, annexes and documented clarifications
  • Approved service descriptions, references and current supporting records
  • Internal owners, working deadlines and proposal rules
  1. 01

    Capture requirements

Structure each requirement with its source passage, document version and subject area. Stated dates and submission instructions stay linked to the original evidence.

  2. 02

    Map supporting evidence

Associate relevant records with a specific requirement. Partial coverage, outdated evidence and unsupported statements receive distinct statuses.

  3. 03

    Organize the response

The matrix shows the owner, open question and next action. Draft responses use available evidence and remain nonbinding until professionally reviewed.

The key review boundary

The system makes no legal eligibility determination or award decision. The responsible team checks binding commitments, submission completeness and the decision to bid. Wording cannot substitute for missing evidence.

The resultAn actionable requirements matrix containing sources, mapped evidence, owners and unresolved points. It provides a basis for a substantiated proposal rather than a long, difficult-to-verify standard response.

One workflow. Three situations.

What changes when …?

Choose a situation and follow the handover. An illustration using fixed sample data, not live AI or a client project.

Choose an example situation
01 / Input

The sample tender asks for a documented support process. An approved service description covers the stated hours and responsibilities.

02 / Check

Map the specific passage to the requirement and prepare an evidence-backed response paragraph.

03 / Handover

The proposal team reviews a traceable draft rather than an unsupported standard promise.

Ready for review

Start focused. Compare fairly.

What the pilot should be measured against.

Requirements captured
Compare the matrix with an expert-reviewed reference; count omitted and incorrectly added requirements separately.
Relevant evidence
Evaluate actual coverage of each requirement, not the number of documents linked to it.
Effort to an actionable response
Measure reading, mapping and corrections together, including subsequent changes to the tender.

A practical initial scope

One completed tender or internal sample with a bounded service scope. The bid team checks the matrix without external submission or commitments.

  • A complete document package with amendment history
  • Approved references and supporting records
  • An expert-reviewed requirements list for comparison

Agree acceptance criteria first

Assess complete source mapping, correctly identified gaps and actionable assignments for specialists. Generated responses count only where their claims are supported by the associated records.

Common questions

Will AI write and submit our bid?

This workflow prepares the requirements matrix and supported text drafts. Professional approval, binding statements and submission remain with your bid team.

Can it establish our legal eligibility?

No. It can structure requested evidence and apparent gaps. That does not constitute a legal eligibility assessment or binding interpretation of procurement documents.

How are later tender clarifications handled?

New material is recorded as a separate version and linked to the affected requirements. Relevant changes return completed items to review.
